Position Purpose: Position is responsibile for receiving, reviewing and recording applications for enrollment at Sheldon Head Start, Shaner Early Learning Academy, State Pre-K, and Pine Ridge Prep.

 

Qualifications: High School diploma or equivalent and 3 to 5 yrs office/clerical work experience.

 

Knowledge/Ability/Skills:

 

*  Ability to review and compare information to determine compliance

*  Ability to operate standard office equipmednt, computers, auxiliary equipment

*  Knowledgeable of office software to include word, excel, publisher, powerpoint, google

*  Ability to communicate effectively orally and in writing

*  Ability to read and apply policies, criteria and instructions

*  Skilled in establishment and maintenance of electronic and paper records

*  Ability to be extremely organized, flexible and multi-task

*  Knowledge of basic accounting principles

 

Physical/Emotional Requirements: The incumbent may be required to use the below requirements during any part of the working day.

 

Speaking, hearing, visual, eye/hand coordination, mobility, consistency of temperament, ability to attend to detail for an extended period of time, work effectively with a variety of people. Ability to occasionally lift/move items weighing up to 10 lbs. Regular, consistent attendance is necessary.

 

Performance Responsibilities:

 

Sheldon Head Start Program:

  • Determine eligibility based upon age, child factors, family factors- (following the Head Start Prioritization Criteria ERSEA( Eligibility,Recruitment,Selection, Enrollment, Attendance)
  • Determining the points based off the application 
  • Following up with families to ensure needed documentation is provided
  • Meeting with parents and filling out all of the required forms needed to complete the enrollment process
  • Making sure all health records are up-to-date
  • Making sure everything is signed and dated correctly
  • Filling out the ERSEA booklet after paperwork is complete and re-determining the points from what was given during that final paperwork. Then taking turns with other staff and re-verifying all of the information. It gets checked twice maybe even three times so that nothing is missed.
  • Filling out the checklist form to make sure everything is completed again
  • Making contact with the parents to let them know that the child has been accepted or not accepted either by phone or post cards
  • Scan in every completed packet to the computer and put them into a folder for Sheldon, designating as Head Start Funded, or Community Funded, add them to teachers file, and file.
  • Add child onto the Roster 
  • Share the Roster with Administration staff, Teachers, and Principals and Nurse
  • Attend Family Service Training and required meetings
  • Perform other duties as assigned or requested
  • Support Family Service Team with attendance and overall daily tasks for the building
  • Preparing for the next school year with getting postcards ready for the 4 year olds, about their home school for kindergarten.
  • On-going documentation in Child Plus and PIR, this consists of records of attendance, phone calls, attendance data, any referrals made, all concerns are documented in the system, changes of family information, goal progress.

State Pre-K Schools

  • Determining if student/family meets the eligibility criteria for 4 year old at-risk funding
  • Ensuring all proper documentation is collected and ready for KSDE audit
  • Following up with families to ensure needed documentation is provided
  • Meet with each family to make sure everything is signed and dated and all the correct information is complete.
  • Scan all documents into google folders
  • Put child onto the Roster 
  • Share Roster with Administration Staff, Teachers, Principal and Nurse

Terms of Employment: 12 month duty year

 

Evaluation: Performance of this position will be evaluated in accordance with provisions of the board policy on evaluation of classified employees.
