Title:  Recruitment Coordinator

 

Reports To:  Recruitment Manager

 

Position Purpose:  To recruit, train, and retain qualified administrative, certified, classified, and substitute employees.

 

Qualifications:

  • Degree in business, human resource administration or a related field;
  • 3 years experience in recruiting and training professional employees. (A combination of education and experience that demonstrates the ability to develop recruitment strategy, utilize effective selection methods, and develop programs for employee retention may be substituted for education.)

Duties: 

  • Identify recruitment sources;
  • Meet district affirmative action goals;
  • Develop recruitment materials to attract candidates for hard-to-fill positions and to present a positive image of Topeka Public Schools as an employer;
  • Establish relationships with universities, colleges, professional associations, and employment centers for access to candidates for District vacancies;
  • Screen applications to identify high potential candidates;
  • Conduct interviews and provide feedback on potential candidates to district administrators;
  • Organize, communicate, and manage recruitment events;
  • Conduct background and reference checks;
  • Organize and deliver orientation training for new employees.

Knowledge/Ability/Skills:

  • Knowledge of Human Resources practices and procedures.
  • Knowledge of employment law in the areas of screening and selection of employees.
  • Ability to load/unload, transport, and set up recruitment materials and displays.
  • Excellent communication skills (written and oral), with the ability to interact effectively with candidates and employees, from leadership to entry-level.
  • Strong attention to detail and good interpersonal skills.
  • Ability to multi-task in fast-paced, dynamic environments.
  • Ability to work flexible hours.
  • Ability to travel 25% or more of the time, depending on the time of year.  Evening and weekend work is required.
  • Skilled in the use of Microsoft Excel and Word, with proficiency in other Microsoft Office products and automated application software systems.

This job requires that the employee be able to:  sit, stand, walk, speak, hear, use hands and fingers, reach with hands and fingers, bend, stoop, and lift objects up to 20 pounds.  This job requires the employee to occasionally stoop and kneel.  Visual ability requires mono-vision and color vision, close vision, distance vision, depth perception, and the ability to adjust focus.  The employee must have the ability to operate and/or travel in a motor vehicle for prolonged periods of time.

 

Essential Duties and Responsibilities:

  1. Assist in recruitment and staffing for administrative, certified, classified, and substitute employees.
  2. Assist in identifying and implementing recruitment methods that provide positive outcomes in the attraction of qualified candidates.
  3. Assist in designing recruitment materials to highlight the District to prospective candidates and communicate the benefits of employment with Topeka Public Schools.
  4. Assist Recruitment Manager in communicating to district and building leaders current staffing needs, procedures, and processes, and guide them through the recruiting process. 
  5. Obtain references on candidates.
  6. Monitor and communicate recruitment status for the upcoming school year.
  7. Make interview questions, screening tools, candidate screening rubrics, job descriptions, and other selection materials accessible to building and district administrators in the selection process and procedures.
  8. Assist in training administrators, supervisors, and managers on recruitment and screening procedures.
  9. Work closely with Teaching and Learning and Staff Development staff to implement on-boarding procedures for administrators, certified staff, and classified staff.
  10. Assist Recruitment Manager in presentations and trainings for new employees.
  11. Attend job fairs and maintain partnerships with colleges and universities to increase the number of student teachers assigned to the district and to increase diversity.
  12. Work with the district College and Career Ready professionals to encourage TPS students to enter the field of education.
  13. Arrange interviews for classified and substitute candidates to be referred to hiring managers.  This may include pre-screening applicants, setting up interviews and scheduling candidates for interviews, and compiling interview results.
  14. Collect data on recruiting efforts, number of hires, days to hire; and create metrics to determine the effectiveness of attracting the talent needed to achieve the District's Mission.
  15. Communicate the organization's desired culture, vision, and values to external partners and prospective employees.  Attend and participate in community events and festivals to promote TPS as an employer of choice.
  16. Implement projects to improve recruitment and retention.
  17. Other duties as assigned.

Terms of Employment:

 

12 months; salary and work year to be determined by the Board of Education.

 

Evaluation:

 

Performance of this position will be evaluated in accordance with provisions of the Board policy on evaluation of Classified Specialty employees.
